Accounting Admin

Department: Accounting
Location: Operations Center
Summary of position requirements:

The Accounting Admin will support accounting functions and the team through processing daily tasks, reconciling accounts, processing payments to external vendors, and maintaining updated records of invoices and receipts. 

Essential Duties and Responsibilities:


  • Reconcile accounts to ensure accurate transactions and balances.

  • Process invoices for payment to external vendors using software program and verifying proper ACH records on file to send payments.

  • Maintain records of invoices received and paid using scanning system for document management.

  • Verify proper invoices and documents are received to process payments.

  • Manage the AP email box to process requests.

Support Functions:

  • Provide administrative support to Controller for various tasks and accurate record keeping.

  • Research and

    verify payments made to vendors as requested.

Customer Care Functions:

  • Ensure timely and accurate payments of invoices to vendors.

  • Associates Degree or two years related experience and/or training; or equivalent combination of education and experience. Bachelor's Degree a plus.

  • Ability to read and comprehend simple instructions.

  • Comfortable using computer programs.

  • Mathematical skills.

Customer Support Representative - Part Time

Department: Call Center
Location: Operations Center
Summary of position requirements:

The Customer Support Representative provides assistance with collecting documents from the deposit processing and call center departments. This position will also organize document storage and filing systems as well as digitizing hard copies of documents. The Customer Support Representative will help with miscellaneous administrative duties that may arise through busy time periods within the deposit processing and call center departments.

Essential Duties and Responsibilities:


  • Assist with mailings and ensure delivery to post office in a timely manner.

  • Putting files, digital or paper, into their proper locations.

  • Gathering and organizing files and documents for coworkers' use, such as for report. 

  • Assist with administration duties of various projects.

  • Answering and transferring customer calls as necessary.

  • Process customer request forms.

  • Review savings bonds and time deposits.

  • Reorder checks for customers.

Support Functions:

  • Assist with data retention and regular clean up.

  • Be familiar with banking regulations and responsibilities relating to each, including a working knowledge of account maintenance.

Customer Care Functions:

  • Answer outside incoming calls and emails to assist with issue resolution, and resetting online banking passwords and debit card PINS as necessary.

  • Demonstrate positive phone etiquette to enhance the customer experience.

  • Maintain the highest level of confidentiality with all information obtained. 

  • Respond to and complete requests submitted in online banking, as well as assisting customers with account inquiries.

  • Manage and process customer requests including, but not limited to, transfer of funds, document request, limit change request, and transaction research.

Operations Support Admin

Department: Operations
Location: Operations Center
Summary of position requirements:

This position will provide general and administrative support of bank operations. This include coordination of facilities maintenance for all bank properties, serving as an administrative assistant for the Osgood Operations Center and Osgood Branch, providing backup (including Customer Service Representative duties) for bank branches, and performing special projects and administrative support for the COO and other operational departments (retail branches, compliance, marketing, and security) as needed. 

Essential Duties and Responsibilities:

Facilities Functions:

  • Coordinates upkeep, routine maintenance, and issue resolution for all bank properties.

  • Tracks and ensures performance of all ongoing service agreements for facilities upkeep (landscaping, HVAC, etc.) in partnership with the COO and maintenance technician.

  • Ensures all building inspection and maintenance checks are completed on schedule and per code - including the elevator in Osgood.

  • Working with the Bank Security Officer, maintains records of all evacuation maps and emergency management procedures by bank location.

  • Maintains a master list of trusted vendors by trade (plumbing, electrical, HVAC, etc.) and coordinates service calls for both routine maintenance and issues resolution.

  • In partnership with management and the bank's branch managers, oversees all janitorial vendors to ensure properties are cleaned per contract. Addresses issues as needed with service providers if work is performed inadequately.

  • Ensures the Osgood Operations Center Fitness Room is fully operational.

  • Provides project management on facilities projects and upgrades, including managing bidding processes, negotiations, and vendor selection.

  • Manages conference rooms in the Osgood Operations Center to ensure they are clean and appropriately staged for meetings with internal and external partners. 

  • Replenishes drinks and snacks periodically as needed throughout the Osgood Operations Center for employees, board members, customers, vendors, and guests.

Branch Support Functions:

  • Greet customers and guests upon entry from the welcome station located in the Osgood Branch.

  • Assist the branch in answering phones and handling general inquiries from customers and guests.

  • Act as a liaison between the Osgood Branch and Operations Center. Sign in guests, customers, and vendors per procedure and escort visitors between buildings securely.

  • Fill in as needed as front line customer service representative to perform teller transactions.

Project and Additional Responsibilities:

  • Perform special projects as assigned by the COO in support of various initiatives, including updating tracking reports, performance dashboards, and performance metrics.

  • Assist the Marketing department with general support as directed by the COO and Marketing Business Partner.

  • General understanding of maintenance and facilities - including diagnosing issues and potential fixes.

  • Knowledge of all office and spreadsheet applications.

  • Associate's degree in Business Administration or equivalent from a two year college or technical school preferred; or two years related experience and/or training; or equivalent combination of education and experience.
